Installation

1Install from HubSpot Marketplace

Search for "IdeaLift" in the HubSpot App Marketplace or use the direct installation link.

2Grant Permissions

During installation, you'll be asked to grant the following permissions:

  • Read contacts - View contact data for linking
  • Read companies - View company data for App Card
  • Write companies - Update custom properties
  • Read deals - Read deal context for workflows
  • Timeline - Push timeline events

3Connect Your IdeaLift Workspace

In your IdeaLift dashboard, connect your HubSpot portal:

  1. Go to Dashboard → Integrations
  2. Find the HubSpot card and click "Connect"
  3. Authorize the OAuth connection
  4. Your HubSpot portal is now linked

App Card

The IdeaLift App Card appears in the right sidebar of company records, showing all ideas from that customer at a glance.

What's Displayed

Total Ideas
Count of all ideas from this customer
ARR at Risk
Revenue tied to pending requests
Shipped
Ideas that have been shipped

Ideas Table

Below the stats, you'll see a table of recent ideas with:

  • • Idea title and description preview
  • • Status badge (Inbox, Planned, In Progress, Shipped, Rejected)
  • • Date captured
  • • Quick link to view in IdeaLift dashboard

Timeline Events

IdeaLift automatically pushes events to the company timeline when idea status changes. This keeps your sales and success teams informed without leaving HubSpot.

Workflow Actions

Use HubSpot workflows to automate idea collection and status updates.

1Create IdeaLift Idea

Automatically create ideas from deal notes, support tickets, or form submissions.

Example: When a deal is marked as "Lost" with reason "Missing Feature", automatically create an idea with the deal notes.

2Update Idea Status

Change idea status based on HubSpot triggers.

Example: When a company property changes to "Churned", automatically mark all their pending ideas as "On Hold".

Custom Properties

IdeaLift syncs custom properties to HubSpot companies, enabling segmentation and reporting by feedback metrics.

Use Case: Create a HubSpot report showing "Customers with 5+ pending ideas and ARR > $50k" to prioritize which feedback to address first.

Linking Companies to Customers

For the App Card to display ideas, you need to link HubSpot companies to IdeaLift customers.

Automatic Linking

IdeaLift automatically links companies when:

  • • An idea is captured with a customer email matching a HubSpot contact's company
  • • A workflow creates an idea with company context
  • • You manually link via the IdeaLift dashboard

Manual Linking

  1. Go to IdeaLift Dashboard → Customers
  2. Click on a customer to view details
  3. Click "Link to HubSpot"
  4. Search for and select the HubSpot company
  5. Ideas from this customer will now appear in HubSpot

Troubleshooting

App Card shows "No ideas found"

The HubSpot company may not be linked to an IdeaLift customer. Go to IdeaLift Dashboard → Customers and link the company, or capture an idea with a customer email that matches a contact at this company.

Timeline events not appearing

Ensure the HubSpot connection is active in IdeaLift Dashboard → Integrations. Also check that the company is linked to a customer in IdeaLift.

Custom properties not updating

Properties sync within a few minutes of changes. If properties are still not updating, try disconnecting and reconnecting HubSpot in IdeaLift settings.

Workflow action fails

Check the workflow execution history in HubSpot for error details. Common issues include missing required fields or disconnected OAuth.
